Terms of Service

By downloading, installing, accessing, or using the Bilbx app for iOS or Android, or the Bilbx website and web portal at bilbx.com (together, “Bilbx” or the “App”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree with these Terms, please do not use Bilbx.

Bilbx is operated by Fairgo Logistics (ABN 94 279 467 365)(“we”, “us”, “our”). These Terms form a binding agreement between you and Fairgo Logistics.

Bilbx is a receipt-box app for iOS, Android, and the web. It helps you:

• Scan and store receipt images and documents
• Receive receipts by email at your own Bilbx address
• Extract purchase details using optical character recognition (OCR) and artificial intelligence (AI)
• Search, organise, and manage your receipts
• Track warranties, return windows, and purchase actions
• Manage reminders related to your purchases
• Prepare and categorise tax-related receipt records

To use Bilbx, you must be capable of entering into a legally binding agreement. If you are under 18 years of age, you may only use Bilbx with the consent and supervision of a parent or legal guardian, and that parent or guardian must agree to these Terms on your behalf.

You can create an account using an email address and password, Google Sign-In, or Sign in with Apple. In some cases, limited functionality may be available without creating an account.

You are responsible for keeping your sign-in credentials secure. You should not share your account with others. You are responsible for all activity that occurs under your account. If you believe your account has been compromised, please contact us immediately.

“User Content” means any content you upload, scan, create, or store through Bilbx, including receipt images, PDFs, OCR-extracted text, merchant names, purchase details, notes, tax categories, warranty and return information, and any other uploaded files.

You retain ownership of your User Content. By using Bilbx, you grant Fairgo Logistics a limited, non-exclusive, worldwide licence to host, store, process, synchronise, back up, analyse, and display your User Content solely for the purpose of operating, providing, and improving Bilbx. We will not sell your User Content to third parties.

You are responsible for ensuring you have the right to upload and store any content you add to Bilbx.

Bilbx reads receipts in the cloud, using text recognition (OCR) and AI services, to extract information from them, such as merchant names, dates, totals, and line items. Receipt text is not read on your device. Receipts read from emails sent to your Bilbx address use your scans in the same way as receipts you scan.

Extracted data may be incomplete, inaccurate, or incorrectly formatted. You should always check important information - such as amounts, dates, tax categories, and warranty details - before relying on it for any purpose.

Premium plans include AI receipt scanning for ordinary personal or business receipt management. To protect Bilbx, our users, and our third-party processing services, we may apply safety checks if we detect unusual activity, suspected automation, or possible abuse. Where appropriate, we may temporarily pause affected features or your account and ask you to contact us so we can review the activity.

Bilbx is an organisational tool. It does not provide accounting, tax, legal, financial, warranty, or consumer-rights advice.

You should verify all dates, amounts, tax treatment, warranty terms, and return policies with the relevant merchant, product manufacturer, accountant, tax adviser, or other qualified professional. Do not rely solely on Bilbx for tax filing, warranty claims, or return deadlines.

Bilbx may send local notifications and reminders related to your receipts, returns, warranties, and actions. These reminders are provided for convenience only.

Reminders may be delayed, unavailable, or inaccurate due to factors including device settings, network conditions, app permissions, operating system restrictions, or incorrect receipt data. You remain responsible for all deadlines.

Bilbx may give you an email address on bilbx.com so you can forward receipts to your account, and where offered you may choose your own (a “Bilbx address”).

It is part of the Service

We give you the right to use your Bilbx address while your account is open and you follow these Terms. It does not become your property, and you may not sell, transfer, or lend it to anyone else.

Names we refuse

We may refuse any name, including names we reserve for Bilbx, our team and its functions, email roles, government bodies, and other organisations, and names that are offensive or could mislead.

When we may reclaim an address

We may reclaim or change a Bilbx address for a good reason, including where it:

• infringes a trademark or other rights, or is the subject of a credible complaint that it does
• impersonates, or could reasonably be mistaken for, Bilbx, a person, a business, or a government body
• is used for spam, fraud, or abuse, or otherwise in breach of these Terms
• is needed for Bilbx’s own operations, such as a role or team address
• must be changed to comply with the law or a lawful request

Notice before we reclaim it

Unless the address is being misused or the law requires us to act sooner, we will:

• tell you at least 30 days in advance, by email and in the App, and say why
• keep the address receiving mail until the notice ends
• give you a replacement address at no cost, which does not count towards any limit on changing your address

Monthly allowance

Your plan includes a number of emails each month, shown in the App. Emails past that number wait in your review list instead of being read automatically.

Changing it, and closing your account

Any limit on how often you can choose a new address is shown when you choose one. When you choose a new address, your previous one keeps receiving for 30 days so you can update anything that forwards to it; if you ask for a fresh random address instead, the old one stops at once. When you delete your account, your addresses stop working and are not given to anyone else for at least 24 months.

Your Bilbx address only receives mail. Emails sent to it are processed as described in our Privacy Policy. Mail from senders you have not allowed waits for your review, and we may discard mail that is unsolicited, unsafe, or over a limit without telling the sender.

When using Bilbx, you must not:

• Upload content that is unlawful, harmful, misleading, or infringes the rights of others
• Attempt to access, view, or interfere with another user’s data or account
• Reverse engineer, decompile, scrape, or disrupt the App or its infrastructure
• Use bots, scripts, emulators, shared credentials, automated pipelines, or other non-human or abnormal access patterns to generate, upload, process, or scan receipts, except where we have expressly approved that use in writing
• Use Bilbx for fraud, unlawful claims, or any illegal purpose
• Upload documents containing unnecessary sensitive information such as personal identification numbers or financial account details
• Misuse support or feedback channels
• Attempt to circumvent security controls or abuse the service
• Attempt to bypass, avoid, or manipulate scan safety checks, usage review thresholds, rate limits, account limits, or entitlement controls

We may investigate, restrict, suspend, or terminate your access if we reasonably believe you have breached these requirements or your use creates a security, operational, legal, or abuse risk.

Your personal information is handled in accordance with our Privacy Policy. By using Bilbx, you acknowledge that you have read and understood the Privacy Policy.

Bilbx runs on enterprise cloud infrastructure and relies on a small number of vetted service providers to deliver core functionality. So that we do not publish details about our systems that would be useful only to someone trying to attack them, we describe those providers by function rather than naming each one:

• Identity, authentication, and account security, including Google Sign-In and Sign in with Apple where you choose them
• Encrypted cloud file storage and managed database and sync infrastructure
• Cloud text recognition (OCR) and enterprise AI processing for reading receipts and extracting their details
• Email receiving, for mail sent to Bilbx addresses
• Email delivery, support tooling, and abuse and bot protection
• The Apple App Store and Google Play distribution platforms, and a payment provider for subscriptions bought on our website

Each provider is engaged under its own terms and a data processing agreement, and may process your information only as necessary to perform the function we have engaged it for. How these providers handle your information - including our requirement that receipt data is never sold and never used to train AI models - is described in our Privacy Policy. If you need the identity of a specific provider or a list of our current sub-processors, contact us and we will provide those details.

These services are subject to their own terms and privacy policies. Fairgo Logistics is not responsible for the availability, performance, or practices of third-party services, except as required by law.

Bilbx is made available through the Apple App Store and/or Google Play. The App is licensed, not sold, to you. The applicable app store provider may have its own terms and conditions that also apply to your use.

Subscriptions or in-app purchases may be managed through the relevant app store platform. Subscriptions bought on our website are billed by our web payment provider and managed from your account on bilbx.com. Refund rights may depend on the app store’s policies and your rights under the Australian Consumer Law.

The app store provider is not a party to these Terms and has no obligation to provide maintenance, support, or warranty services for Bilbx, except as required by its own terms or applicable law.

We may update, modify, suspend, or discontinue parts of Bilbx from time to time to improve functionality, address security issues, or for other operational reasons. Where changes materially affect your use of Bilbx, we will provide reasonable notice where practicable.

We will take reasonable steps to minimise disruption, but we cannot guarantee that Bilbx will be available at all times or free from interruptions.

You should keep your own copies of important receipts and documents. While Bilbx stores your data securely, we recommend maintaining independent backups.

You may delete individual receipts within the App. You can delete your account and its data in the App’s settings, or ask us to through our account deletion page. Deleted content may remain in backups, audit logs, or system records for a limited period where technically or legally necessary.

Fairgo Logistics owns all rights, title, and interest in Bilbx, including the software, design, branding, logos, documentation, and related intellectual property. Nothing in these Terms grants you any ownership rights in the App itself.

You may not copy, modify, distribute, sell, or create derivative works of Bilbx or its intellectual property, except as expressly permitted by these Terms or applicable law.

Subject to your non-excludable rights under Australian law (including the Australian Consumer Law):

• Bilbx is provided on an “as available” basis. We do not guarantee that the App will be uninterrupted, error-free, or available at all times.
• We do not guarantee the accuracy, completeness, or reliability of OCR or AI-extracted data.
• We do not guarantee that notifications or reminders will always be delivered on time or at all.
• We do not guarantee that data will be preserved indefinitely.

These disclaimers do not affect any rights you have under Australian law that cannot be excluded.

Subject to your non-excludable rights under Australian law:

• To the maximum extent permitted by law, Fairgo Logistics’s total aggregate liability to you for any claims arising from or related to your use of Bilbx is limited to the amount you have paid to Fairgo Logistics for the use of Bilbx in the 12 months preceding the claim, or AUD $100, whichever is greater.
• To the maximum extent permitted by law, Fairgo Logistics is not liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunity, arising from your use of Bilbx.

Nothing in these Terms limits or excludes liability for fraud, wilful misconduct, personal injury caused by negligence, or any liability that cannot be excluded under Australian law.

You agree to indemnify and hold Fairgo Logistics harmless from any claims, losses, damages, liabilities, and expenses (including reasonable legal costs) arising from:

• Your misuse of Bilbx or breach of these Terms
• User Content that you upload that is unlawful or infringes the rights of a third party
• Your use of Bilbx for any unlawful or fraudulent purpose

This indemnity does not apply to the extent that the relevant claim arises from Fairgo Logistics’s own negligence, breach, or wilful misconduct.

You may stop using Bilbx at any time. You can delete your account at any time in the App’s settings or by contacting us.

Fairgo Logistics may suspend or terminate your access to Bilbx if:

• You commit a serious or repeated breach of these Terms
• We reasonably believe your account is being used for automated scanning, scraping, credential sharing, security testing without authorisation, excessive non-ordinary usage, or other abuse
• Your use poses a security risk to the App or other users
• Your use is unlawful or fraudulent
• It is necessary for operational, legal, or safety reasons

Where reasonable, we will provide notice before suspending or terminating your account. However, we may act without prior notice where we reasonably consider immediate action necessary to protect Bilbx, other users, third-party services, data security, or the integrity of our platform. Sections of these Terms that by their nature should survive termination (including Intellectual Property, Liability, Indemnity, and Governing Law) will continue to apply.

These Terms are governed by the laws of Western Australia, Australia. The parties submit to the non-exclusive jurisdiction of the courts of Western Australia and the Commonwealth courts of Australia exercising jurisdiction in that state.

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
